AI Usage Policy
Rules governing responsible use of Optimus AI and AI-assisted website features.
Last updated August 13, 2026
Effective Date: July 11, 2026
Last Updated: August 13, 2026
Primary Jurisdiction: Commonwealth of Virginia, United States
This AI Usage Policy ("Policy") governs the use of Optimus AI, artificial intelligence, automation, machine-assisted tools, conversational interfaces, AI-generated content, and related AI-assisted features made available by or through Prime Executive Support ("Prime," "we," "us," or "our").
Prime uses AI to make digital interactions faster, more useful, and more efficient. AI may assist with information, navigation, general questions, content, workflows, and business-support functions.
AI is a tool. It is not an infallible source of truth, licensed professional, or independently authorized representative of Prime. Users of AI-assisted features acknowledge the capabilities, limitations, responsibilities, and restrictions stated in this Policy.
1. Optimus AI
Optimus AI is Prime Executive Support's AI-assisted website experience. It may assist with website navigation, general service information, locating information, common questions, support options, relevant resources, organizing inquiries, publicly available Prime information, and other supported AI-assisted functionality.
Optimus may also offer optional location sharing and a consent-based callback-request form. These functions help support an inquiry; they do not give Optimus independent authority over client accounts, paid services, or Prime's business decisions.
Optimus is not a human employee, attorney, accountant, financial adviser, licensed professional, or independently authorized contracting representative of Prime.
2. AI Can Make Mistakes
AI systems are probabilistic. Output may be inaccurate, incomplete, outdated, ambiguous, inconsistent, inappropriate, based on misunderstood context, or unsuitable for a particular purpose.
Prime does not guarantee that AI-generated output is correct, complete, current, or error-free. Users should independently verify material information before relying on it for a consequential decision.
3. No Professional Advice
Unless expressly provided by an appropriately qualified professional under a separate engagement, Optimus and Prime AI features do not provide legal, tax, accounting, investment, medical, insurance, regulated cybersecurity, employment-law, or other licensed professional advice.
AI information is general informational and business-assistance material. Users remain responsible for obtaining appropriate professional advice.
4. No Authority to Bind Prime
Unless Prime expressly authorizes otherwise through a legally effective mechanism, Optimus and other AI-assisted features are not authorized to independently bind Prime Executive Support.
Ordinary AI conversational output does not, by itself, enter Prime into a contract; accept a proposal; amend an agreement; modify a statement of work ("SOW"); authorize additional work; waive Prime's rights; admit liability; settle a dispute; approve a refund; issue a binding credit; forgive an invoice; modify payment terms; guarantee pricing, availability, timelines, deliverables, or results; or create another binding commercial commitment.
Optimus has no independent contractual authority unless Prime expressly authorizes a particular automated function to perform a specified transaction through a legally effective mechanism.
5. Official Agreements Control
If AI output conflicts with an applicable signed agreement, proposal, quotation, SOW, work order, service plan, invoice, written policy, authorized written instruction, or other binding Prime document, the applicable authorized document controls to the extent legally effective.
AI output does not modify an existing agreement merely because the AI produced the statement.
6. Pricing, Quotes & Availability
AI-generated information about prices, discounts, packages, promotions, availability, timelines, estimates, quotations, or service descriptions may be stale, misunderstood, incomplete, or incorrect.
Unless clearly presented through an authorized Prime process as a binding offer, AI-generated commercial information is informational and subject to verification. A hallucinated, stale, misunderstood, or unauthorized AI-generated price does not automatically create a contractual obligation.
Official quotations, proposals, invoices, checkout terms, service agreements, and authorized written confirmations control where applicable.
7. Human Verification
Prime may require human review or confirmation before acting on an AI-assisted interaction. Subject to applicable law and agreements, Prime may review an interaction, correct or clarify AI information, reject an AI recommendation, request information, route an inquiry to a person, verify identity or authority, verify commercial terms, or require formal acceptance.
Optimus currently supports an optional, consent-based callback request for users who want human follow-up. Human review does not guarantee that every AI error will be detected.
8. User Responsibility
Users are responsible for evaluating AI output appropriately before reliance. Users should not rely exclusively on Optimus for significant financial, legal, contractual, employment, regulatory, security, confidentiality, intellectual-property, or business-continuity decisions.
Users remain responsible for their instructions, submissions, decisions, and use of AI output.
9. Information You Provide to AI
Users are responsible for information they submit. Do not unnecessarily provide passwords, authentication codes, payment-card details, banking credentials, Social Security numbers, government identifiers, protected health information, trade secrets, confidential legal materials, highly sensitive personal information, or unauthorized third-party confidential information through Optimus.
Where sensitive information is legitimately required for an engagement, use the secure method designated by Prime rather than the public AI interface.
10. Authority to Submit Information
By submitting content, users represent that they have sufficient authority to provide it for the intended purpose.
Users must not knowingly submit information or content that violates law, infringes intellectual property, violates privacy, breaches confidentiality, contains malware, facilitates fraud, impersonates another person, or attempts unauthorized access.
11. Privacy & AI Data
AI interactions are subject to Prime's Privacy Policy, Cookie Policy, applicable service agreements, and applicable law.
The current Optimus website implementation uses browser-side storage to retain a visitor identifier, session identifier, interface state, and recent conversation history. It also creates server-side visitor, session, message, page-view, event, feedback, and related records under configured retention rules.
Information processed may include messages, pages visited, referral information, browser and device details, language, timezone, network address, network-derived approximate location, and security or performance information. Precise device location is optional and is requested only after a user selects the location feature. A callback request may collect the contact and inquiry information the user supplies and requires an affirmative privacy-consent selection.
Depending on the request and active configuration, relevant prompts, recent conversation context, and public website context may be processed through a third-party AI provider. Prime does not represent that AI conversations are never stored, never disclosed to service providers, always deleted immediately, completely confidential, confined to Virginia, or protected by end-to-end encryption.
12. Third-Party AI Providers
AI functionality may depend on third-party models, APIs, infrastructure, hosting, analytics, security systems, and technology providers. Relevant information may be transmitted to authorized providers as reasonably necessary to operate the requested AI function.
Third parties may experience outages, model changes, API changes, latency, restrictions, policy changes, inaccurate output, discontinued functionality, or security incidents.
To the fullest extent permitted by applicable law and controlling agreements, Prime is not responsible for failures attributable solely to independent third-party systems outside Prime's reasonable control.
13. AI Availability
Prime does not guarantee that Optimus will always be available, uninterrupted, error-free, compatible with every device, capable of answering every question, or maintained indefinitely.
Prime may reasonably update, modify, restrict, suspend, replace, or discontinue AI functionality, subject to applicable agreements and law.
14. AI Output & Intellectual Property
Prime does not guarantee that every AI output is unique, copyrightable, commercially exclusive, suitable for trademark use, free of similarity to third-party material, or free from all third-party rights.
Users should perform appropriate factual, legal, originality, and rights review before publishing or commercially using AI-assisted output.
15. Business Content Created With AI
Prime may use AI-assisted technology internally for drafting, research, ideation, analysis, organization, automation, development, and workflow assistance.
This does not mean that every Prime deliverable is autonomously AI-generated. For client engagements, the applicable agreement and scope govern Prime's obligations concerning deliverables, review, quality, confidentiality, and tool usage.
16. SEO, Marketing & AI Recommendations
AI recommendations involving SEO, answer-engine optimization (AEO), generative-engine optimization (GEO), marketing, websites, analytics, advertising, social media, or business operations do not guarantee Google or other rankings, indexing, AI citations, featured snippets, traffic, leads, conversions, revenue, advertising performance, or social engagement.
Search engines, AI platforms, social networks, and advertising networks are independent third parties whose systems and decisions Prime does not control.
17. Security & Prompt Manipulation
Users must not attempt to bypass safeguards; extract hidden system instructions; obtain unauthorized confidential information; manipulate Optimus into revealing protected information; exploit vulnerabilities; introduce malicious code; automate abusive requests; evade restrictions; impersonate users; use Optimus for fraud; or interfere with system operation.
Prime may restrict or block abusive use to the extent permitted by applicable law and agreements.
18. Prohibited AI Uses
Users must not knowingly use Prime's AI functionality to facilitate unlawful activity, fraud, impersonation, phishing, malware, unauthorized access, intellectual-property infringement, privacy violations, deceptive practices, exploitation, harassment, or other prohibited conduct.
Prime may use reasonable safeguards and abuse controls but does not represent that it monitors or detects every misuse.
19. High-Impact Decisions
Unless expressly designed, reviewed, and legally authorized for a specific purpose, Optimus is not intended to independently make final high-impact decisions concerning employment, lending, credit, housing, insurance, healthcare, legal rights, essential-service eligibility, or similarly consequential matters.
20. No Guarantee of Bias-Free Output
AI may reflect limitations, biases, errors, contextual problems, and model or data limitations. Prime does not guarantee completely neutral or bias-free output.
Users should apply appropriate human review, particularly where output could affect individuals or protected interests.
21. No Guarantee of AI Detection
Prime does not guarantee reliable detection of AI-generated content or the accuracy of AI detectors, plagiarism detectors, or originality tools.
Detection results should not be treated as conclusive without appropriate supporting review.
22. User Feedback
Users may report inaccurate, inappropriate, confusing, or potentially unsafe Optimus responses to Prime. Prime may use feedback to evaluate and improve AI functionality subject to applicable privacy practices.
Feedback does not automatically guarantee modification, refund, remediation, credit, or a particular response.
23. Records & Electronic Transactions
Virginia law recognizes qualifying electronic records, electronic signatures, and electronic contracts. Merely visiting Prime's website or chatting with Optimus does not, by itself, mean that the user has signed every Prime agreement or accepted every contractual term.
Where affirmative consent, signature, acknowledgement, or acceptance is required, Prime may use an appropriate legally effective mechanism. No acceptance is fabricated or presumed where applicable law requires a different method.
24. Automated Transactions
Virginia law recognizes that qualifying contracts may be formed through electronic agents. Prime may expressly authorize a particular automated function to perform a specified transaction through a legally effective mechanism.
The current public conversational Optimus interface can provide information and accept optional feedback, location choices, and consent-based callback requests. Unless a specific Optimus function is clearly designated and configured by Prime for a transaction, ordinary conversational Optimus output must not be represented as having independent contractual authority.
25. Limitation of Responsibility
To the fullest extent permitted by applicable law and subject to any controlling agreement, Prime is not responsible for losses attributable to unreasonable reliance on unverified AI output, inaccurate user inputs, unauthorized instructions, third-party AI failures, external outages, model or provider changes, misuse of Optimus, failure to obtain appropriate professional advice, or matters outside Prime's reasonable control.
Nothing in this section excludes or limits responsibility to the extent such exclusion or limitation is prohibited by applicable law.
26. Limitation of Damages
To the fullest extent legally enforceable and subject to controlling agreements, Prime will not be liable for legally excludable indirect, incidental, consequential, special, exemplary, or punitive damages, or for legally excludable lost profits, lost opportunities, lost goodwill, anticipated savings, or business interruption.
Any monetary liability cap for paid professional services belongs in the controlling service agreement and is not created by this public Policy.
Nothing in this section excludes or limits liability to the extent such exclusion or limitation is prohibited by applicable law.
27. No Waiver
Prime's failure or delay in enforcing a right does not automatically waive it.
A correction, accommodation, refund, credit, extension, AI correction, or exception in one instance does not automatically establish a precedent or continuing obligation.
28. Relationship to Other Policies
This Policy should be read with Prime's Terms & Conditions, Privacy Policy, Cookie Policy, Service Waiver & Client Acknowledgement, Acceptable Use Policy, Security Policy, Cancellation Policy, and applicable client agreements.
A binding engagement-specific agreement controls within its scope where it establishes different or additional terms.
29. Changes to AI Systems
Prime may prospectively change AI providers, models, configurations, or prompts; add safeguards; add or remove functionality; modify integrations; introduce human review; or discontinue AI functionality.
Prime does not guarantee permanent access to any particular provider, model, version, or AI capability.
30. Changes to This Policy
Prime may prospectively update this Policy to reflect changes in technology, services, operations, risks, providers, or applicable law.
The Last Updated date identifies the current public version. Updating this public webpage does not by itself retroactively modify an executed agreement.
31. Virginia Governing Law
This Policy is administered from the Commonwealth of Virginia, United States.
To the fullest extent permitted by applicable law, this Policy is governed by the laws of the Commonwealth of Virginia, without giving effect to choice-of-law principles that would require application of another jurisdiction's law.
A binding agreement may contain additional or controlling governing-law or dispute provisions. Nothing in this Policy waives, restricts, or eliminates any right, remedy, duty, or liability that applicable law does not permit to be waived, restricted, or eliminated.
